#Find the error

Every failed record is listed in Settings > Integrations > QuickBooks > Sync log with the error QuickBooks returned. Fix the cause, then click Retry next to the record, or Retry all. Records that fail are retried automatically on each sync for 3 days, then they wait for you.

#Common errors and fixes

  • Duplicate document number: an invoice with the same number already exists in QuickBooks. Add a prefix in Settings > Invoicing > Numbering, then retry.
  • Tax code missing: a Fieldnote tax rate is not mapped. Map it in Settings > Integrations > QuickBooks > Tax mapping.
  • Customer is inactive: the customer was made inactive in QuickBooks. Make them active again in QuickBooks, then retry.
  • Connection expired: QuickBooks asks you to sign in again about every 100 days. Click Reconnect; nothing is lost and waiting records sync after you reconnect.

#Invoices showing up twice

Duplicates usually happen when an invoice was created in QuickBooks by hand and also in Fieldnote. Delete the manual copy in QuickBooks and keep the one synced from Fieldnote, because Fieldnote will keep updating its own copy. If you disconnect and reconnect a different QuickBooks company, Fieldnote treats it as new and will sync again from your chosen start date.
